AI tackles spreadsheets: Opportunities and risks for accountants

The rise of artificial intelligence (AI) does not aim to replace jobs, but to optimize the use of spreadsheets like Microsoft Excel and Google Sheets. Major software vendors are introducing new AI functionalities that automate repetitive tasks in spreadsheets, such as creating formulas, cleaning data, and quickly summarizing information. This offers significant time savings for office workers, especially for finance teams and accountants who can then shift their focus to auditing and interpreting the data.

Microsoft's Copilot in Excel and Google's Gemini in Sheets are examples of AI assistants that support users in formulating questions in plain language, which are then converted into usable formulas and charts. These tools utilize large language models and require the user to continuously verify the results. This leads to faster information processing and enables analyses and scenarios to be generated with a single instruction, significantly increasing efficiency.

However, despite the benefits of AI integration, there is growing concern about privacy and data protection, especially in the context of the European General Data Protection Regulation (GDPR) and the upcoming AI regulation. When spreadsheets contain personal data, organizations must comply with requirements such as data minimization and encryption. It is important for companies to be aware of this legislation and align the implementation of AI tools with legal requirements, especially when handling sensitive information.

It is recommended that organizations start with small, controlled AI implementations involving IT, security, and the works council at an early stage. Capturing data flows that may be used by AI, as well as requesting clear audit logs from suppliers, are crucial steps to mitigate risks. By optimizing the returns from this technology, companies can streamline their processes without taking significant risks.
