Tech Festival values the protection of the privacy of the personal data you provide to us. Personal data refers to information that can be traced back to an individual, such as a name, home address or email address. We also believe it is important to inform you about how we use your personal data and to offer you choices about how the data is used. Therefore, we recommend that you read our Privacy Statement carefully.

Scope of our privacy policy

This Privacy Statement applies to the website techfestival.nl and all related websites, applications, (email) services and tools that reference this policy, regardless of how you access or use the websites, including access or use via mobile devices. This Privacy Statement also applies to all information collected or used by Tech Festival or any of its subsidiaries.

Tech Festival may be involved in the processing of personal data in various ways, both directly and indirectly.

Direct processing occurs when personal data is provided directly by you to Tech Festival. For example, by filling out the contact form.

Data that Tech Festival may process from you may include:

• First and last name
• Phone number
• Email address
• IP address
• Address details
• Gender

If you take part in the event as an exhibitor, we also process the data required for the contract, invoicing and your use of the exhibitor portal, including the files you upload there.

Tech Festival processes the collected data for the execution of its services and/or to comply with laws and regulations. Tech Festival does not sell data to third parties. Personal data is shared with third parties if this is necessary for the execution of the service agreement or to comply with legal obligations. With organisations that process data on our behalf, we enter into a data processing agreement to ensure a similar level of security and confidentiality of personal data.

Cookies

We or our service providers may use cookies, a small text file sent to your computer. This helps us recognise your computer when you visit us again, and it can help us analyse how visitors use the site. We use this information, among other things, to track how you use the website so we can optimise it.

We only place analytical and marketing cookies after you have given your consent through our cookie banner. They are switched off by default. You can change or withdraw your choice at any time through the cookie settings on our website.

If you do not wish to receive cookies at all, you can consult the help file of your internet browser to find out how to block all cookies or how to ensure that you receive a warning before a cookie is stored.

Google Analytics

If you give your consent, we use Google Analytics to track how users use the website and how it is found. The information obtained, including the IP address, is transferred to and by Google. Google uses this information to track how our website is used and to provide us with reports about the website. Google may provide this information to third parties if Google is legally required to do so, or insofar as those third parties process the information on Google’s behalf. We have no influence on this. We have not permitted Google to use the analytics information obtained for other Google services.

Purposes

Unless we have obtained your prior consent, we do not collect or use information for purposes other than those described in this Privacy Statement.

We process your information for various reasons:

The lawful basis for collecting this data may be the legitimate interest of Tech Festival, a legal basis or an agreement.

Retention periods

The retention period applied by Tech Festival may differ per purpose. This partly depends on the nature of the data. After the retention period has expired, we will in principle delete your personal data or anonymise it in such a way that it can no longer be used and/or is no longer accessible. After the retention period, Tech Festival only uses anonymised data for historical or statistical purposes.

Third parties

Tech Festival never sells your data to third parties. Data is only shared with third parties if this is necessary for the execution of our services or to comply with legal obligations. This may be the case, for example, when we share pre-registrations with the exhibitor for whom a pre-registration as a visitor to the event was made.

In addition, by having your badge scanned during the event days, you consent to your data being transferred to the scanning party. These parties may then contact you on the basis of the data you have provided.

With organisations that process data on our behalf, we enter into a data processing agreement to ensure that your personal data is processed at the same level of security and confidentiality as with us.

Photographs and video recordings may be made during Tech Festival. By visiting the event, you agree that these images may be used by Tech Festival for marketing purposes, such as promotion for upcoming editions, marketing materials and other promotional communications.

Where we process your data

For sending email and for storing the files that exhibitors upload through the portal, we use the Microsoft 365 environment of Cloud Expo, the organisation Tech Festival works with. This data is kept there in a separate environment of its own and is only accessible to staff who need it for their work. For visitor registration we use an external ticketing partner.

Accessing, changing or deleting data

You have the right to access, correct (or have corrected) and delete (or have deleted) your personal data, and to object to the processing. Requests regarding these rights can be submitted to info@techfestival.nl.

Changes

From time to time we may change this privacy policy. If we make material changes to this privacy policy, we will announce those changes on this page. In addition, we do everything we can to inform you of these changes. We recommend that you consult our privacy policy regularly.
